Job description:
CEO Office
- Manage the CEO Office and ensure staffs perform their duties in accordance with set guidelines and job responsibilities to meet all specific requirements.
- Develop office procedures to ensure smooth operation of the department.
- Be one step ahead of time lines for reports etc to support Pres. & CEO
Manage Department Workflow.
- Assign tasks to CGCSL Office staff.
- Review mail, email and faxes to assess whether necessary for referral to and action by President and CEO or delegate, redirect or respond directly. Where appropriate, provide synopsis for review by President & CEO.
- Review all correspondence to be signed by President & CEO to ensure accuracy and in line with current business objectives.
- In the absence of President & CEO, provide guidance on procedural issues and interpretation of policy, as appropriate, to ensure queries are directed to the most effective area.
Document Preparation
- Coordinate or prepare documentation, reports, presentations, correspondence, speeches, background and statistical information ect., as required and ensure they meet the President & CEO's objectives.
Meetings
- Arrange and coordinate meeting for CGCSL Management, including preparation of agendas, distribution of relevant information and recording of minutes.
- Coordinate and prepare President & CEO's participation at Meetings for all external and JV companies of which President & CEO is a member.
- Coordinate Travel Folders.
- Communication & Information Gathering
- Consult with GMs, JV heads, key external contracts, head office and CGCSL staff for information exchange and update. Provide feedback to President & CEO.
Develop network of contacts
- Collate information and ensure that all standard report, presentations and files are regularly updated.
Events
- Manage or assist with organization of conferences, seminars or special function to facilitate business operation and activities.
- Organisation Development/ Change Management Process
- Assist with preparation of CEB and CGCSL Management Team workshops, including format, structure and discussion points.
Budget
- Plan and control budget and cost allocations for CEO Office and related Cost Centres.
- Manage all expense claims, check, authorize or arrange for signature.
Qualifications & Requirements£º
- Relevant tertiary qualification in Business Management or Finance, or a minimum of 5 to 10 years experience in various roles and responsibilities in relevant business environments.
- Excellent organizational, project and time management skills.
- Excellent written and oral communication skills, perfect English required as well as a translation ability.
- Computer literate with Microsoft suite of programs, emails but most important PowerPoint excellence.
- Sound knowledge of business practices, including finance, and CGCSL activities.
